Brief Job Description

This position will support all administrative requirements for the President of PMC Group International, Inc.

Essential Job Functions & Responsibilities

  • The incumbent will follow-up on all duties as directed by the President
  • Initiate email communication(s) when requested to Contractors, Agents, Scientists and internal PMC employees as requested by the President.
  • Maintain the executive’s calendar and initiate requested Zoom Meetings or Microsoft Team Meetings with domestic and global participants.
  • American Express: Reconcile monthly statements for A/P processing.
  • Harvard Club of NY: Reconcile monthly statements for President; Business / Personal
  • Maintain confidentiality of sensitive information.
  • Performs work under minimal supervision
  • Handles complex issues and problems and discusses resolution with Director, Cust & Adm. Svcs. before contacting President or higher-level management.
  • Arrange meeting rooms, rental cars and confirm travel plans if/when required

Knowledge, Skills & Abilities

  • Computer proficiency is required for computerized applications.
  • Ability to prioritize and manage work efficiently
  • Ability to listen and communicate (written and verbal instructions
  • Administrative composition and word skills using excellent grammar, spelling and proof-reading.
  • Ability to follow-up effectively with all PMC Int’l staff, Consultants, Scientists and Clients.
  • Self-starter, energetic, good common sense and sound judgment.
  • Performs work with minimal to no supervision.
  • Ability to handle complex issues and problems.
  • Possesses comprehensive knowledge of subject matter
  • Ability to set priorities, meet deadlines and multi-task with various projects.
  • Planning and set-up for annual meetings or holiday events (as requested).

Working Conditions

The job holder will work in an office environment and must be willing to multi-task between various managers and outside individuals to accomplish the President’s requests in an expedient and efficient manner within the required time-frame, particularly when working on Patent Application dead-lines.

Education, Training, and Experience Required

  • Possesses comprehensive knowledge of subject matter
  • Ability to listen, read and follow instructions given by the President.
  • The incumbent must act with others using a mature seasoned approach
  • Associate Degree preferred or 5 years of executive level support experience.
